This Privacy Notice for RepUp ('we', 'us', or 'our'), describes how and why we might access, collect, store, use, and/or share ('process') your personal information when you use our services ('Services'), including when you:
- Download and use our mobile application (RepUp), or any other application of ours that links to this Privacy Notice
- Use RepUp. RepUp is a fitness coaching platform connecting personal trainers with their clients. Coaches build custom workout programs, track client progress, and manage sessions. Clients log workouts, follow assigned programs, track body measurements, and stay accountable through automated reminders and real-time progress tracking — all in one streamlined mobile app.
- Engage with us in other related ways, including any marketing or events
Questions or concerns? Reading this Privacy Notice will help you understand your privacy rights and choices. We are responsible for making decisions about how your personal information is processed. How do we process your information? We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We may also process your information for other purposes with your consent. We process your information only when we have a valid legal reason to do so. How do we keep your information safe? We have adequate organisational and technical processes and procedures in place to protect your personal information. However, no electronic transmission over the internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorised third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. 1. WHAT INFORMATION DO WE COLLECT?
Personal information you disclose to us
In Short: We collect personal information that you provide to us.
We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.
Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:
- contact or authentication data
Information you add in the app. Depending on the features you use, this includes:
- your profile: date of birth or age, gender, height, weight, goals, training preferences, profile photo and the answers to your account security questions;
- training and body information: workouts, sets and programs, weight history, body measurements, progress photos, readiness check results and, if you turn on Bio-Sync, your cycle dates;
- nutrition: your food and water diary, recipes, meal plans and meal scans;
- health information: pre-exercise health screening answers (which can include medical conditions, medications, injuries and pregnancy) and medical documents you choose to share with your coach;
- messages, squad posts and comments, check-ins, form-check videos (including their sound), agreements you sign, support conversations and reports you make;
- for coaches: your business details, the programs and records you keep for your clients, session credits, and the business income and expense records you enter.
Sensitive Information. When necessary, with your consent or as otherwise permitted by applicable law, we process the following categories of sensitive information:
- financial data (only the business income and expense records a coach chooses to enter; we do not store card numbers)
- health data (health screening answers, pregnancy status, medical documents you upload, Bio-Sync cycle dates, and Apple Health or Health Connect data you allow us to read)
Payment Data. Purchases in the RepUp app are made through Apple (the App Store) or Google Play: we never see your card details, and our subscription provider RevenueCat tells us only which plan you have and whether it is active. Plans bought on our website are paid by card, and the card details are handled and stored by Stripe. You may find their privacy notice link(s) here: https://stripe.com/au/privacy.
Application Data. If you use our application(s), we also may collect the following information if you choose to provide us with access or permission:
- Geolocation Information. If you allow it, the app uses your device's location only while you are using it, never in the background: to show coaches near you in Find a Coach and, if you are a coach who turns on discovery, to save your location so members nearby can find you. We do not store a member's location. You can refuse location access and type a city instead, and change access at any time in your device's settings.
- Mobile Device Access. With your permission, the app uses your camera (progress photos, meal scans, barcodes, documents for your coach and form-check videos), your photo library (only to add images and videos you choose to save), your microphone (the sound on form-check videos), your calendar (to show your calendar events next to your sessions and add the sessions you book or sync), Face ID or Touch ID (the optional app lock) and Apple Health or Health Connect. You can change these permissions at any time in your device's settings.
- Mobile Device Data. We automatically collect device information (such as your mobile device ID, model, and manufacturer), operating system, version information and system configuration information, device and application identification numbers, browser type and version, hardware model Internet service provider and/or mobile carrier, and Internet Protocol (IP) address (or proxy server). If you are using our application(s), we may also collect information about the phone network associated with your mobile device, your mobile device’s operating system or platform, the type of mobile device you use, your mobile device’s unique device ID, and information about the features of our application(s) you accessed.
- Push Notifications. We may request to send you push notifications regarding your account or certain features of the application(s). If you wish to opt out from receiving these types of communications, you can turn them off in the app under Settings → Notifications, or in your device's settings.
This information is primarily needed to maintain the security and operation of our application(s), for troubleshooting, and for our internal analytics and reporting purposes.
All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.
Information automatically collected
In Short: Some information — such as your Internet Protocol (IP) address and/or browser and device characteristics — is collected automatically when you visit our Services.
We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use our Services, and other technical information. This information is primarily needed to maintain the security and operation of our Services, and for our internal analytics and reporting purposes.
Our website uses only the cookies it needs to work, such as keeping you signed in and keeping the site secure. The RepUp app does not use cookies or advertising identifiers.
The information we collect includes:
- Log and Usage Data. Log and usage data is service-related, diagnostic, usage, and performance information our servers automatically collect when you access or use our Services and which we record in log files. Depending on how you interact with us, this log data may include your IP address, device information, browser type, and settings and information about your activity in the Services (such as the date/time stamps associated with your usage, pages and files viewed, searches, and other actions you take such as which features you use), device event information (such as system activity, error reports (sometimes called 'crash dumps'), and hardware settings).
- Device Data. We collect device data such as information about your computer, phone, tablet, or other device you use to access the Services. Depending on the device used, this device data may include information such as your IP address (or proxy server), device and application identification numbers, location, browser type, hardware model, Internet service provider and/or mobile carrier, operating system, and system configuration information.
- Location Data. We collect your device's location only as described under Geolocation Information above, and only with your permission. We do not use your IP address to work out where you are.
Face ID and Touch ID
The optional app lock uses Face ID or Touch ID through Apple’s iOS, or your phone’s biometric unlock on Android. The biometric check is performed entirely on your device by the operating system, which tells RepUp only whether the check succeeded. RepUp never receives, collects, stores, uses, shares or retains any face, fingerprint or other biometric data, and no such data is sent to us or to any third party.
Apple Health and Health Connect
With your permission, the app can read the following from Apple Health (iOS) or Health Connect (Android): step count, sleep sessions, resting heart rate, heart rate variability and active energy burned. RepUp uses this data only to show your daily activity and training readiness in the app and, if you have a coach on RepUp, to let your coach see your activity so they can plan your training. RepUp does not write data to Apple Health or Health Connect.
Health data is stored in your account on our secure database (see “How do we keep your information safe?”). It is never used for advertising or marketing, never sold, and never disclosed to third parties other than the service providers that host our platform on our behalf. You can withdraw access at any time in the Health app (Sharing → Apps → RepUp) or in Health Connect. Health data is deleted when you delete your account.
Meal photos and AI-based nutrition estimates
Photos you take for the meal scan are transmitted to our servers and processed by an artificial-intelligence service acting on our behalf to identify the foods and estimate portion sizes. We do not keep the photo: after the scan we store only the resulting food entries and a one-way fingerprint (hash) of the image, which is used to recognise the same photo if it is scanned again and cannot be turned back into the image. The calorie and nutrient figures shown come from public food-composition databases, not from the artificial-intelligence service, and are estimates. Progress photos you choose to upload are stored privately and are visible only to you and, if you have one, your coach, and are deleted with your account.
Health and fitness estimates
Calorie targets, body-fat estimates, estimated one-rep maximums, readiness scores and similar figures in the app are calculated estimates for training and everyday nutrition. They are not medical advice, diagnosis or treatment. The methods and the published sources behind each figure are listed in the app under Settings → Health & nutrition sources.
Artificial-intelligence features and your consent
Two features send data to third-party artificial-intelligence providers: the photo meal scan sends the photo you take or choose, when it was taken, whether it is home or restaurant food, and the names and portions of up to 15 meals you have logged before (so a repeat meal gets your own portions) to Anthropic (Claude), and the recipe generator sends the ingredients, goal and calorie target you enter to Google (Gemini). Nothing is sent to either provider until you have given permission in the app, which asks you the first time you use each feature. You can withdraw that permission at any time in Settings → AI features; the feature then stops working until you allow it again. These providers process the data only to return the result to you and do not receive your name, email address or account details.
Service providers
We share personal information only with service providers that process it on our behalf to run RepUp: Supabase (database, file storage and sign-in), Vercel and Render (hosting for our website and servers), Sentry (crash and error reports), RevenueCat and Apple or Google (in-app subscriptions), Stripe (card payments on our website), Expo (push notifications and app updates), our email delivery provider, Google (Calendar, for coaches who connect it — session details are written to the coach's own calendar), OpenStreetMap (to look up the address a coach enters on our website) and the artificial-intelligence providers named above. When you scan a barcode, the number is looked up in the public Open Food Facts database, which receives the barcode but no personal information. Each provider is bound by contract to use the data only to provide its service to us and to protect it to a standard at least equal to this privacy notice.
Reports and blocks
If you report a post, comment, message or person, we keep the report, a copy of the reported content and the identity of the reporter and the reported account so that RepUp can review it; reports are reviewed within 24 hours and the reported person is not told who reported them. If you block someone, we keep a record of the block so that you stop seeing each other’s content and they cannot message you. Reports and blocks are deleted when the account that made them is deleted.
Who can see your information in RepUp
If you have a coach, your coach can see and update the information in your coaching account: your program and workouts, nutrition, weight and body measurements, progress photos, check-ins, form-check videos, health screening answers and medical documents, Apple Health or Health Connect data, readiness results and — only if you choose to share it — your Bio-Sync cycle information. Members of a Gym Squad see each other's name, profile photo, squad posts, comments, shared workouts and leaderboard results. People you message see your name, profile photo and messages. Coaches who list themselves in Find a Coach show their profile (name, photo, bio, gym, city and specialisations) to members. We do not sell your personal information and we do not share it with advertisers.
Children
RepUp is not for children. You must be at least 16 years old to use RepUp, and we do not knowingly collect personal information from anyone under 16. If you believe a child under 16 has given us personal information, contact us at repupmanagement@gmail.com and we will delete it.
2. HOW DO WE PROCESS YOUR INFORMATION?
In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We may also process your information for other purposes with your consent.
We process your personal information for a variety of reasons, depending on how you interact with our Services, including:
- To facilitate account creation and authentication and otherwise manage user accounts. We may process your information so you can create and log in to your account, as well as keep your account in working order.
- To deliver and facilitate delivery of services to the user. We may process your information to provide you with the requested service.
- To send administrative information to you. We may process your information to send you details about our products and services, changes to our terms and policies, and other similar information.
- To enable user-to-user communications. We may process your information if you choose to use any of our offerings that allow for communication with another user.
- To request feedback. We may process your information when necessary to request feedback and to contact you about your use of our Services.
- To send you marketing and promotional communications. We may process the personal information you send to us for our marketing purposes, if this is in accordance with your marketing preferences. You can opt out of our marketing emails at any time. For more information, see 'WHAT ARE YOUR PRIVACY RIGHTS?' below.
- To identify usage trends. We may process information about how you use our Services to better understand how they are being used so we can improve them.
- To comply with our legal obligations. We may process your information to comply with our legal obligations, respond to legal requests, and exercise, establish, or defend our legal rights.
3. WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?
In Short: We may share information in specific situations described in this section and/or with the following third parties.
We may need to share your personal information in the following situations:
- Service providers. With the providers listed under "Service providers" in section 1, only so they can run RepUp for us.
- Your coach and other users. As described under "Who can see your information in RepUp" in section 1.
- Legal requirements. When the law requires it, or when it is needed to protect the safety of our users or the public.
- Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
4. DO WE USE COOKIES AND OTHER TRACKING TECHNOLOGIES?
In Short: Our website uses only essential cookies, and the RepUp app does not track you.
Our website uses a small number of essential cookies. Some online tracking technologies help us maintain the security of our Services and your account, prevent crashes, fix bugs, save your preferences, and assist with basic site functions.
We do not allow third parties to use cookies or other tracking technologies on our Services for advertising, and the RepUp app does not track you across other companies' apps or websites or use advertising identifiers.
You can set your browser to refuse cookies, but parts of our website, such as signing in, may then not work.
5. DO WE OFFER ARTIFICIAL INTELLIGENCE-BASED PRODUCTS?
In Short: We offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies.
As part of our Services, we offer products, features, or tools powered by artificial intelligence, machine learning, or similar technologies (collectively, 'AI Products'). These tools are designed to enhance your experience and provide you with innovative solutions. The terms in this Privacy Notice govern your use of the AI Products within our Services.
Use of AI Technologies
We provide the AI Products through third-party service providers ('AI Service Providers'), including Anthropic (Claude), which receives the meal photos you choose to scan together with when each was taken, whether it is home or restaurant food, and the names and portions of up to 15 meals you have logged before, and Google (Gemini), which receives the ingredients and goals you enter when you ask for a recipe. As outlined in this Privacy Notice, your input, output, and personal information will be shared with and processed by these AI Service Providers to enable your use of our AI Products for purposes outlined in 'WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?' You must not use the AI Products in any way that violates the terms or policies of any AI Service Provider.
Our AI Products
Our AI Products are designed for the following functions:
- photo meal scanning (identifying foods and estimating portions from a photo) and recipe generation from the ingredients you enter
How We Process Your Data Using AI
All personal information processed using our AI Products is handled in line with our Privacy Notice and our agreement with third parties. This ensures high security and safeguards your personal information throughout the process, giving you peace of mind about your data's safety.
6. HOW LONG DO WE KEEP YOUR INFORMATION?
In Short: We keep your information for as long as necessary to fulfil the purposes outlined in this Privacy Notice unless otherwise required by law.
When you delete your account in the app (Settings → Delete Account), we immediately and permanently delete your account, the information in it and the files you have uploaded. Copies in our database backups are removed as those backups expire. A report you made is deleted with your account; a report about content you posted, with the copy of that content, is kept while it is reviewed and in our moderation records.
We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). No purpose in this notice will require us keeping your personal information for longer than the period of time in which users have an account with us.
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymise such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.
7. HOW DO WE KEEP YOUR INFORMATION SAFE?
In Short: We aim to protect your personal information through a system of organisational and technical security measures.
We have implemented appropriate and reasonable technical and organisational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorised third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.
8. WHAT ARE YOUR PRIVACY RIGHTS?
In Short: You may review, change, or terminate your account at any time, depending on your country, province, or state of residence.
Withdrawing your consent: If we are relying on your consent to process your personal information, which may be express and/or implied consent depending on the applicable law, you have the right to withdraw your consent at any time. You can withdraw permissions yourself at any time in the app (Settings → AI features and Settings → Notifications) and in your device's settings (location, camera, photos, calendar and Health). You can also withdraw your consent by contacting us using the contact details provided in the section 'HOW CAN YOU CONTACT US ABOUT THIS NOTICE?' below.
However, please note that this will not affect the lawfulness of the processing before its withdrawal nor, when applicable law allows, will it affect the processing of your personal information conducted in reliance on lawful processing grounds other than consent.
Opting out of marketing and promotional communications: You can unsubscribe from our marketing and promotional communications at any time by clicking on the unsubscribe link in the emails that we send, or by contacting us using the details provided in the section 'HOW CAN YOU CONTACT US ABOUT THIS NOTICE?' below. You will then be removed from the marketing lists. However, we may still communicate with you — for example, to send you service-related messages that are necessary for the administration and use of your account, to respond to service requests, or for other non-marketing purposes.Account Information
If you would at any time like to review or change the information in your account or terminate your account, you can: - Log in to your account settings and update your user account.
- Contact us using the contact information provided.
You can delete your account at any time in the app under Settings → Delete Account. This permanently deletes your account, its information and your uploaded files straight away. Deleting your account does not cancel a subscription bought through the App Store or Google Play — cancel it in your store subscription settings. We may keep limited records where the law requires it, such as records of payments made on our website.
Cookies and similar technologies: Most Web browsers are set to accept cookies by default. If you prefer, you can usually choose to set your browser to remove cookies and to reject cookies. If you choose to remove cookies or reject cookies, this could affect certain features or services of our Services.
9. CONTROLS FOR DO-NOT-TRACK FEATURES
Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ('DNT') feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognising and implementing DNT signals has been finalised. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Notice.
10. DO OTHER REGIONS HAVE SPECIFIC PRIVACY RIGHTS?
In Short: You may have additional rights based on the country you reside in.
Australia and New Zealand
We collect and process your personal information under the obligations and conditions set by Australia's Privacy Act 1988 and New Zealand's Privacy Act 2020 (Privacy Act).
This Privacy Notice satisfies the notice requirements defined in both Privacy Acts, in particular: what personal information we collect from you, from which sources, for which purposes, and other recipients of your personal information.
If you do not wish to provide the personal information necessary to fulfil their applicable purpose, it may affect our ability to provide our services, in particular:
- offer you the products or services that you want
- respond to or help with your requests
- manage your account with us
- confirm your identity and protect your account

11. DO WE MAKE UPDATES TO THIS NOTICE?
In Short: Yes, we will update this notice as necessary to stay compliant with relevant laws.
We may update this Privacy Notice from time to time. The updated version will be indicated by an updated 'Revised' date at the top of this Privacy Notice. If we make material changes to this Privacy Notice, we may notify you either by prominently posting a notice of such changes or by directly sending you a notification. We encourage you to review this Privacy Notice frequently to be informed of how we are protecting your information.
13. HOW CAN YOU REVIEW, UPDATE, OR DELETE THE DATA WE COLLECT FROM YOU?
Based on the applicable laws of your country, you may have the right to request access to the personal information we collect from you, details about how we have processed it, correct inaccuracies, or delete your personal information. You may also have the right to withdraw your consent to our processing of your personal information. These rights may be limited in some circumstances by applicable law.
